Chapel Roles
Captain
There are twelve Captains, three in each Division. They are responsible for looking after
a 2-hour block on the roster, also called a ‘Prayer Team’.
NIGHT:
12 midnight – 2am, 2am – 4am and 4am – 6am
MORNING: 6am – 8am, 8am –10am and 10am -12 noon
AFTERNOON: 12 noon -2pm, 2pm -4pm and 4pm – 6pm
EVENING: 6pm – 8pm, 8pm-10pm and 10pm -midnight
Captains work closely with their Division Leader to provide ongoing support to the Guardians in their Prayer Team and to make sure all the hours of their 2-hour block are covered, in order to maintain Perpetual Adoration. Tasks include:
- Have a personal rostered Holy Hour in the chapel. Pray regularly for the needs of the Parish Priest, Parish, Guardians (especially those in their Prayer Team).
- When a Guardian is new, the Captain contacts them to:
a. Explain the security measures.
b. Make sure they have received a copy of the handouts: ‘Guardian Role ‘, ‘Roster‘ and ‘Substitute List’ from the Chapel’s Coordinator.
c. Explain their role and how to find a Substitute.
d. Check that their contact details are correct, particularly their mobile number and email. - Captains are responsible for checking the sign-in folder at least weekly, to ensure that all the Guardians in their Prayer Team are fulfilling their rostered holy hour. Captains should follow up anyone who hasn’t been signing in and encourage them to find a substitute. (If there is no Captain, then the Division leader takes on this responsibility).
- Assist the Guardians in their Prayer Team to find a substitute if they are having difficulties and be prepared to cover the hour if no one else can be found.
- Organise for everyone in their Prayer Team to ‘get together’ socially a few times during the year.Captains may be required to pass on any messages to the Guardians in their Prayer Team. For example, an invitation to attend one of the Prayer Team’s get-togethers or an invitation to fill in a vacant hour in their two-hour block.
- Responsible for informing the Coordinator of any changes to the roster or a Guardian’s contact details.
Coordinator
The Coordinator is mainly responsible for the administrative tasks that keep the Adoration Roster operating smoothly. These include:
- Ensure that each Guardian has a copy of the ‘Instructions for Guardian’, Roster and Substitution List.
- Regularly update (as needed) the Adoration Roster and Substitution List and email these to each Guardian. The most updated version of these should always be available for reference in the Chapel (Sign in folder / notice board).
- Update or add each Guardian/Substitute’s email address to the Adoration Gmail account.
- Communicate with the Parish Priest, Division Leaders and/or Captains regarding any needs the Guardians may have concerning the Chapel. Coordinators will also pass on any information for them from the Parish Priest.
- Make sure that the Division Leaders and Captains know their roles and are carrying them out, and provide them with information if needed.
- Photocopy the Sign-in sheet and remove the filled-in sheets from the folder regularly.
- At the beginning of the week, advise the Division Leaders and Parish Priest (via text) of any Vacant Holy Hours needing to be covered or notices to be passed on to Guardians / Substitutes. If necessary, these should also be emailed to the Parish Secretary to be included in the parish bulletin. Vacant Holy Hours can also be emailed to everyone using the chapel’s Gmail account, if there have been difficulties in finding someone to substitute or cover these Holy Hours permanently.
Division Leader Role
There are four Division Leaders. They are responsible for looking after a 6-hour block on the roster, also called a ‘Division’.
NIGHT: 12 midnight to 6am
MORNING: 6am to 12 noon
AFTERNOON: 12 noon to 6pm
EVENING: 6pm to 12 midnight
Division Leaders work closely with the Chapel Coordinator and assist the three Captains in their Division to maintain Perpetual Adoration. Tasks include:
- Division Leaders communicate regularly with the Captain to ensure that their Captains are checking the sign-in sheets weekly. If one or more of the two-hour blocks (Prayer Teams) in your Division has no Captain, then the Division leader takes on this responsibility, until a Captain is appointed.
- To be available to assist the Guardians in their Division to find a substitute when their Captain has tried to find a substitute but was unsuccessful.
- Division Leaders communicate regularly with the Coordinator and pass on messages to the Captains in their Division.
- Organise for everyone in the Division to get together socially, at least once a year.
BEFORE ADORATION COMMENCES:
- Division Leaders contact those who filled out Invitations and assign them a suitable Holy Hour on the roster in their Division. This ideally should be done by a phone call or text.
- The Division Leader finds 3 Guardians to be the Captains. The Captains should be one of the Guardians from the Prayer Team he/she leads.
Guardian Role
Each person who does a Holy Hour is called a Guardian. They ensure that, during their rostered Holy Hour, Jesus in the Blessed Sacrament is never unguarded or left alone.
A Guardian is part of a Prayer Team. Prayer Teams consist of the Captain and their Guardians. For example, the Captain for 12midnight to 2am and all Guardians who have a Holy Hour in the same 2-hour block, 12midnight to 2am, are one Prayer Team.
The following simple responsibilities for Guardians include:
- Arrive at least 5 mins early and ensure that you sign in and out of the Sign-in-Folder.
- Be aware of the Chapel’s security arrangements. For example, there could be a door access code when entering.
- When you ask someone to substitute for you, please give them as much advance notice as possible
- Each Guardian should try to be available as a ‘Substitute’ on the
- ‘Substitute List’ Please inform the Coordinator of times you are available.
- Inform your Coordinator of any changes to your contact details (Phone number and email).
- Each Guardian is required to have a copy of this sheet ‘Guardian Role’ and a copy of the roster for your Division and a copy of the Substitute List.
WAYS TO FIND A SUBSTITUTE:
Every Guardian should try to have a Prayer Partner. A Prayer Partner is someone who shares your Holy Hour. The aim is to have at least two Guardians per hour. (Although only one person is needed.)
If you cannot attend your holy hour, you must inform your Prayer Partner and confirm that they are attending, otherwise, you will need to organise someone else to substitute for you.
Follow these steps to find a substitute when you don’t have a Prayer Partner:
- Ask a family member or good friend to substitute for you and ensure that they know the procedures (door access code, signing in/out. etc.). This is an opportunity to evangelise, by inviting them to be in the presence of Jesus.
- Contact a substitute Guardian on the Substitute List. These Adorers are happy to help cover Holy Hours when needed.
- Contact the Guardians who are rostered on before and after you, to see if they can cover your Holy Hour by staying an extra 30 minutes each.
- Contact Guardians in your Prayer Team.
- Contact the Captain and ask them to assist you.
- Contact your Division Leader and ask them to assist you.
- If for some reason none of the above suggestions to find a substitute
are successful, please call or text the Coordinator.
Follow these steps when the Guardian after your Holy Hour fails to arrive, and it is absolutely necessary that you have to leave:
- Pray that someone comes to the chapel who can replace you. As a result of your commitment to Jesus, He will try to provide for you.
- Phone the scheduled Guardian
- Phone the Guardian after the scheduled as they may be able to come in earlier.
- Phone the Captain of the Guardian who is absent or his/her Division Leader or the Coordinator
- Phone a friend.
- Phone a person on the Substitute List.
